NEW REGISTRATION AND PASSPORT APPLICATION
B1 As an authorised and approved Passport Issuing Organisation for Standardbreds in Great Britain and Ireland STAGBI will issue passports in accordance to the regulations as specified in the Commission Regulation EC 2015/262 (the “2016 EU Regulation”); 2018 No 761 The Equine Identification (England) Regulations 2018; 2019 No 57 (W.20) The Equine Identification (Wales) Regulations 2019 and 2019 No 30 The Equine Animal (Identification) (Scotland) Regulations 2019.
B2 To comply with the above regulations STAGBI requires that the application for a new registration be received by STAGBI by the 31st October of the year of birth. Applications received after this date will be considered as late and will incur late fees.
B3 Progeny of current STAGBI registered dams and sires (with current stallion licences), that are Parentally Verified by DNA to the sire and dam with a valid mating certificate will be eligible to be entered in the STAGBI Stud Book.
B4 Foaling Return (attached to Mating Certificate) should be completed and return to STAGBI within 28 days of foal being born with appropriate fee for a STAGBI Foal Pack. A Foal Pack (Registration Forms, Microchip & DNA Hair Sample Bag) will be issued on receipt.
B5 It is required that all parts of the application for registration and passport be completed in full.
i) PART A: Application for Registration and Passport: To be completed by owner. In the case of joint ownership, all persons must sign and all persons must be current members of STAGBI. See Section C of this document for the naming of the foal.
ii) PART B: Microchip, Age & DNA Declaration: To be completed, signed and stamped by Veterinary Surgeon. See Section E of this document for microchipping.
iii) PART C: Equine Identification: Silhouette and written description to be completed, signed and stamped by a Veterinary Surgeon (Using Wetherby’s Guidelines).
NB: Where possible, a minimum of 5 markings should be recorded and all white markings to be completed in red.
B6 Completed forms should be returned to STAGBI and must be accompanied by a valid mating certificate; Hair Samples for DNA analysis and appropriate fees. Registration and issuing of passports will be delayed if there are any queries or discrepancies within the application. Any forms that are returned as incomplete or inaccurate will incur an additional administration fee.
B7 The breeder of the foal will be recorded as the owner of the dam at the time of foaling. Please ensure that mare is registered under the correct ownership. A transfer of ownership may be required.
B8 If the dam was born before 2009 and this is her first foal to be registered with STAGBI then a DNA sample from the dam may be required. Please check with STAGBI to ensure a DNA profile for the dam is held on file.
B9 Before the passport is issued, appropriate checks will be made to ensure that that the information provided and entered in the passport is correct and that a passport does not already exist.
B10 Part Bred Standardbred passports may be issued for horses who do not meet the criteria of Full Bred Standardbreds.
B11 In accordance with World Trotting Association (May 2019) the registration of a foal born out of a mare or by a stallion who has been subjected to gene manipulation shall not permitted.
B12 In order to provide you with STAGBI services and comply with the law and regulations by which STAGBI is bound, we will need to collect some personal data in accordance to General Data Protection Regulation (GDPR) and Data Protection Regulation (DPA 2018).
As an Owner & Breeder, your name and address will be permanently recorded in the Statutory Section of the Equine Passport, STAGBI Database and forwarded to the UK Governments Central Equine Database as required by Regulation.
STAGBI may also be required to provide your personal information to comply with a specific request from Local Authorities, Police or Government. As an owner your details may also be shared with a racing organisation /other Standardbred Stud as requested. As a Breeder, your name will be recorded in the Standardbred and Trotting Horse Association of Great Britain and Ireland Stud Book, on-line Breeding Database and other publications where the name of the Breeder is recorded.
If you do not provide the information it may delay or prevent us from meeting our obligations and may mean that unfortunately we will not be able to provide our services to you.

B13 All registrations are subject to the approval of STAGBI.
B14 Once the registration is complete, the Passport and Certificate of Ownership will be posted to Owner by Royal Mail “Signed for Delivery” or “Guaranteed Delivery” if requested (see additional fees). STAGBI accepts no responsibility for passports that may be lost in the post.
NAMING OF FOAL
C1 First and second choice names to be submitted on the application for registration. A name can comprise of no less than 2 characters and no more than 18 characters including spaces. Numbers and symbols shall not be permitted.
C2 A name that already exists or similar to a name that already exists may not be permitted. A name that has been used previously may be considered if the original registration was more than 20 years ago. The name would be suffixed by II, III, etc .
C3 A list of registered prefix or suffix is available on STAGBI website.
C4 International names that are considered as protected may not be used, such names include: Hanover, Seelster, Armbro, Winbak, Blue Chip, Twin B, Lobell, Allamerican, Keystone, Almahurst etc
C5 A name that is suggestive or has a vulgar, obscene or insulting meaning; is in poor taste or may be offensive or cause offence will not be permitted.
C6 All names are registered subject to the approval of STAGBI.
C7 Once registered STAGBI will not permit a horse’s name to be changed.
MICROCHIP (OR TRANSPONDER)
E1 Commission Regulation EC 2015/262 (the “2016 EU Regulation”); 2018 No 761 The Equine Identification (England) Regulations 2018; 2019 No 57 (W.20) The Equine Identification (Wales) Regulations 2019 and 2019 No 30 The Equine Animal (Identification) (Scotland) Regulations 2019 require that ALL horses shall have a microchip implanted.
E2 It is required that the horse be implanted by a STAGBI issued microchip compatible with transponder ISO 11784 and 11785.
E3 In accordance with above Regulations, the microchip must be implanted parenterally under aseptic conditions between the poll and withers in the middle of the neck in the area of the nuchal ligament by a member of the Royal College of Veterinary Surgeons.
E4 The site of implantation should be noted on the silhouette with a capital M, with a circle around it.
E5 Prior to implanting the microchip, it is the Veterinary Surgeon’s responsibility to take reasonable action to detect that a microchip has not been previously implanted or evidence that a microchip has been surgically removed.
